The City of Bangor is seeking an Administrative Assistant professional to fulfill the rewarding position of WIC Administrative Assistant.  This position provides a vital support to the community in the form of administrative support to the Women, Infants, and Children (WIC) Nutrition Program.

Some of the Duties of this Position Include:

  • Answer multiline phone system, schedule appointments, gather and document demographic information and provide solutions to questions for all WIC inquiries in the Penobscot and Piscataquis coverage area

  • Welcome participants, applicants, and visitors to all Public Health and Community Service programs as they enter the building and assist or refer as appropriate

  • Utilize Health PAS online data base to review and document adjunctive eligibility for WIC applicants/participants

  • Utilize WIC data application to sign in participants, enter data, schedule appointments, build clinic schedules, and follow-up on missed appointments

  • Monitor, control, and manage clinic flow

  • Perform general office duties such as faxing, copying, inventory, scanning, and labeling

  • Refer clients to services to meet basic needs and document in participant record

  • Relate information courteously, effectively, and tactfully with co-workers, professionals in the medical and social service related fields, and members of the general public.

  • Attend trainings and conferences to meet the WIC Nutrition Program training and continuing education requirements

  • Utilize One Call voice, text, and e-mail system to document and track confirmed appointments

  • Assist WIC Program Manager in the collection of data to support performance measures

  • Correspond with co-workers, DHHS, and other WIC agencies to obtain required paperwork for WIC participation and certification

  • Build referral materials and packets

  • Distribute and send mail

  • Perform other related work as required

Requirements:

  • High School diploma, Associates Degree preferred

  • Office experience required, health related experience preferred

  • Excellent public relation and communication skills with colleagues, medical care providers, social services, and participants

  • Excellent organizational skills

  • Flexible and motivated in a fast-paced office environment

  • Ability to operate a computer with ease (Microsoft Outlook, excel, word) and use the WIC Management Information System proficiently

The current pay range is $17.72 to $23.84/hour (Based on a 37.5 hour work week) and includes a comprehensive benefits package for full-time employees including: health insurance plans with choices including low deductible plans and up to 80% of premium paid by the City, choices of dental, vision, group life, and supplemental plans, paid long-term disability insurance; 2 weeks paid time off, up to 3 weeks sick leave, and 13 paid holidays per year, plus compensatory time off; and a retirement plan with generous City contribution with only a 1-year vesting period.
